Those who use the “Sales and Accounting” module in addition to the “Time Management” module benefit from simplified invoicing for projects. With the following example, we want to show you how the modules are connected and how you can best use them.
Imagine: You are new to Atlanto and have gotten the modules “Sales and Accounting” and “Time Management” right away. You have heard that it is very easy to bill projects entered in Atlanto and then bill the client straight away. For this process to work smoothly, you need to take a few steps beforehand.
1. Contact Manager, Add Customers: Firstly, add the customer who will be assigned to the project to the “Contact Manager”. When adding the contact, it is important that you fill in the boxes under “Sales Settings” in addition to address details. (Ingore delivery type at this point)
2. Sales, Add Products: Once the desired customer has been added, a product must be created that will later be added to the project. It could also be a service, of course. It is important to set a sales price in addition to mandatory fields. (Choose the price you entered in step 1 as the customer’s “default price type”, here: Selling price 1)
3. Time Management, Add Project: Next, save the desired project. Do not forget to assign a customer to the project (according to step 1) and make sure that the box “Billable” is checked.
Note: The boxes “Budget in hrs” and “Hourly rate” are purely informative. The final billing is based on product information.
4. Time Management, Add Task: When adding a task, make sure to assign it to the correct project and add the product from step 2.
Note: Here, the fields “Budget in hrs” and “Hourly rate” are used for the calculation under “Time entries”. The final bill is calculated with product information.
5. Time Management, Time Recording: Now, the time can be entered as usual under Time Management. Just use the corresponding project from step 3 and the task from step 4.
6. Time Management, Time Entries: If all steps have been followed and you now want to invoice your client, go to “Time entries” and enter the billing parameters you want. After that, click on “show” and then, if you want to create an account, on “bill hours”.
7. Sales, Prepare Invoice: After clicking on “Bill hours”, you will return to the “Sales” module, where the data from the “Time Management” module has already been filled in, although you can adjust it as you like. If everything is correct, click on “Save” and either send the invoice by e-mail or print it out as usual.
