Address groups and tags (keywords) are tools that help you to organise your contacts. There are no clear rules as to how you should use address groups and tags. Think in advance about how you want to structure your contacts in a meaningful way. Below, we will show you one possible way in which you can structure your contacts using address groups and tags.
Certain address groups have already been set up by default. You can add, edit or delete address groups.
For instance, address groups can be used to structure contacts in an overarching way for the long term. Determine the nature of your contacts by adding them to address groups: customers, suppliers, partners, service providers, etc. You can also use address groups to structure the type of contact in a more granular way. For example, you can assign all customers to more specific address groups: small, medium and large customers. This allows you to filter your contacts by either contact or customer type in your contact overview. Go step by step and organise your contacts individually to suit your needs. Other address groups could be industries, languages, etc.
Tags can also be used to structure contacts based on short-term attributes. For example, they can be used for easier preparation of communications. Here are two practical examples:
‘Christmas card’ tag
The ‘Christmas card’ tag is used for any customers who should be sent a Christmas card. When Christmas cards are created or sent, the contacts in the contact overview can now be filtered by the ‘Christmas card’ tag. This generates a list of all contacts to whom a Christmas card should be sent.
‘Spring Fair 2021’ tag
All customers acquired at the Spring Fair 2021 are tagged ‘Spring Fair 2021’. If a sales campaign is carried out in which a special offer is to be made to these customers, the contact overview can be filtered by the ‘Spring Fair 2021’ tag. This generates a list of the customers in question.
Of course, there are other examples in which tags can be used in addition to communicating with customers. Think about exactly how you want to use this tool and take a structured approach.
